The Shipley School, founded in 1894, is a co-educational, college preparatory, independent day school currently enrolling 827 students in grades Pre-K through 12. Located in the western suburbs of Philadelphia, the school is committed to educational excellence and dedicated to developing in each student a love of learning and compassionate participation in the world. The Upper School has 400 students in grades 9-12, and a faculty of 60.
The Upper School Administrative Assistant must be highly organized, positive, and detail-oriented. This person works with both individual students and colleagues to promote the success of our Dean of Students' offices as well as provide added administrative support to other community-related offices. This person will also work with our Dean of Students, Academic Dean, Director of Service Learning, and the Director of Diversity and Inclusion to help students, colleagues, and administrators thrive in the school environment. This individual will work directly with students and assist the Dean of Students and the other community life-related offices with any number of daily responsibilities, including the following:
Daily attendance checks by student/by class/every day, including all calls and emails from parents/guardians, and checking in students who are late.
Tracking of attendance and discipline. Familiarity with managing databases and data-entry
Calendar management, both individual with the Dean of Students and school-wide.
Emergency procedures coordination, including fire drills, key cards, etc.
Student events, activities, and trip coordination, including transportation, Senior Service Projects, Service trips
Manage mailings, external communications, and daily community and student-related projects and event coordination
Assist Dean of Students and Academic Dean in organizing proctoring of exams, teacher conferences, etc.
Support the Assistant to the Head of Upper School with daily tasks and oversight organization/management of student events such as back to school events, graduation, etc.
